The Operations Team are part of NDM Strategic, based in the Henry Wellcome Building for Molecular Physiology, on the Old Road Campus site, Headington, Oxford.

Current Projects

NDM Website Development

NeWT is our in-house Content Management System

Our website is now well established having been live for over 3 years; it is a dynamic project, presenting NDM from different angles, appealing to various audiences, whether you're a research student, a developing PI or the general public interested in University life or science.

We are always adding new features to the site, our most recent being:

PINFOX

PINFOX stands for PI INFOrmation OXford. It is a database used for collecting information regarding a PI’s location, contact details, research activities and clinical links. It also records collaborations, both in the UK or overseas, and 8 key publications. All of the above information feeds the PIs Research Profiles on the NDM website.

A monthly research grant snapshot provides PIs with a quick view of their current funding, and also to promote communication with their administration teams. This view is only available to the individual PI’s concerned.

Reports can be run from PINFOX for the Head of Department and Administrators to review statistics on any area of the department.

OTTER

OTTER is the Oxford Tool for Timesheet Entry and Reporting. This system allows administrators to set up employees and grant information so that timesheets can be requested, recorded and approved electronically on a monthly basis. Report functions are provided to support day-to-day management of grants and to satisfy sponsor audit requirements. After a successful pilot, the system is now live in 6 NDM units and we’ll shortly be updating OTTER with some new features. eCOW

eCOW is our electronic Coordination of Workpackages. It is an electronic template designed to help researchers to apply for European grants. eCOW can also be used as a project management tool. Variables include partners, workpackages tasks and deliverables, milestones. Budget items are entered separately and can be updated at a later stage. eCOW enables reports on staff, partners, workpackages tasks or deliverables, milestones, budget.

OxTREID

OxTREID stands for Oxford TRopical Ethics and Indemnity Database. This web-based application will replace the Word form currently used by overseas PIs who want to submit a project to OxTREC (Oxford Tropical Ethics Committee).  OXTREAD will go live in late May 2012 and will be mandatory for all applications to the August 31st 2012 deadline; we will not be able to accept any applications made on the old forms once the system is live.

PROXY

PROXY is an online requisition system which is currently being phased out of use in favour of Oxford University's Enterprise level system Marketplace.  It was developed over three years ago to replace the former paper and email systems used in some NDM departments; it is a simple system to help research groups approve and manage requisitions, prior to the accounts teams placing the orders in Oracle.  For those units migrating to Marketplace we will be archiving the Proxy order data on completion of the roll-out, and making this accessible to the respective accounts teams.

Ongoing projects

Other projects the Operations Team have been involved in are Marketplace, Business Intelligence and Symplectic, a web based system for verification of publications.

More recently NDMS facilitated a large equipment review across all the NDM units.  The hard work from everyone involved has been used to create a University wide database intended to promote equipment and facility sharing between departments.  The page is now available via the Research Support website and  the University of Oxford's research facilities and equipment on-line searchable database.

Many of the questions we are asked on a daily basis can be related back to the 'Support Documentation' that is now available on line plus information regarding reports, which are summarised in the reports library and how to deal with Internal Trading.
