All's well that ends well
Event
Wedding party held for 150 people at the Ayana Resort and Spa in Bali.
Objectives
The organiser needed to create an intimate yet fanciful and glamorous wedding party for a Singaporean couple. The arrangements also needed to meet the requirements of the clients and their parents.
Challenges and measures
The organiser found the hardest part was to select the venue. The couple wanted a simple, casual yet intimate party attended only by their close friends and relatives, and preferred to host the event at the Tresna Chapel at Ayana Resort. But their parents preferred a bigger venue to accommodate more guests, an array of food and live performances. Eventually, they compromised and agreed to invite only close friends and relatives (about 50 people) to the ceremony, while other guests (about 100) were invited only to the reception in a large function room at the hotel.
It was the rainy season and everybody was nervous about the weather. The organiser also prepared a beautifully decorated back-up indoor area for the marriage. The rain poured right after the ceremony, but wedding butlers were ready with umbrellas and escorted everybody to the back-up area.
To ensure its clients' requirements were met, the organiser arranged meetings between them and the florist, executive chef and pastry chef.
The couple asked for the wedding cake to be cut and distributed to guests, not at the wedding party but during lunch the following day. However, due to miscommunication, the cake was cut by a waiter and distributed to the guests at the party. The couple were extremely upset. The organiser contacted the pastry chef who managed to create the same wedding cake for the next day.
Results
The wedding cake incident could have spoilt an otherwise successful event. But, with the action taken by the organiser, the couple were extremely pleased, and enjoyed the event.
The couple's parents were also happy with the reception, which accommodated friends and relatives.
