NBME® Privacy Policy

The National Board of Medical Examiners (NBME) is committed to protecting your privacy and to maintaining the integrity and privacy of personal information that NBME collects through the NBME® website (the "Site") located at www.nbme.org. The following Privacy Policy ("Policy") explains NBME's information collection and dissemination practices in connection with the Site. The National Board of Medical Examiners has been awarded TRUSTe's Privacy Seal signifying that this privacy policy and practices have been reviewed by TRUSTe for compliance with TRUSTe's program requirements including transparency, accountability and choice regarding the collection and use of your personal information. The TRUSTe program does not cover information that may be collected through downloadable software. TRUSTe's mission, as an independent third party, is to accelerate online trust among consumers and organizations globally through its leading privacy trustmark and innovative trust solutions. If you have questions or complaints regarding our privacy policy or practices, please contact us at communications@nbme.org. If you are not satisfied with our response, you can contact TRUSTe here, by fax at 415-520-3420, or mail at Watchdog Complaints, TRUSTe, 55 2nd Street, 2nd Floor, San Francisco, CA, USA 94105. If you are faxing or mailing TRUSTe to lodge a complaint, you must include the following information: the name of the company, the alleged privacy violation, your contact information, and whether you would like the particulars of your complaints shared with the company. For information about TRUSTe or the operation of TRUSTe's dispute resolution process, please visit TRUSTe or request this information from TRUSTe at the addresses listed above. The TRUSTe dispute resolution process shall be conducted in English.

The National Board of Medical Examiners has been awarded the TRUSTe seal signifying its privacy policyand privacy practices comply with TRUSTe's EU Safe Harbor program requirements which are consistent with the U.S. – EU Safe Harbor Framework as set forth by the U.S. Department of Commerce regarding the collection, use and retention of personal information from the European Union.

1. General Users

NBME does not collect any personal information from users browsing its website.  Users to the public area of the www.NBME.org website may browse anonymously.  NBME’s web servers may track the IP addresses of visitors to the site to measure number of visits to the website.  If you participate in NBME’s examination services (e.g., NBME Licensing Examination Services, NBME Self-Assessment Services), you will be required to provide personal information during the registration process. To access certain portions of the Site, you may have to submit a user ID and password.

2. Collection of and Consent to Use Personal Information from Site Users

You may provide personal information to us in the process of completing various forms for the United States Medical Licensing Examination® (USMLE®) and/or NBME programs and services for students and graduates of medical schools. Personal information may include, but is not limited to:

  • Name
  • Date of birth
  • Email address
  • Billing and Mailing address
  • Telephone number
  • Credit card and billing information
  • Social security or national identification number
  • Citizenship
  • Gender
  • Medical school history  (including Medical School name, country, professional degree, date degree conferred/expected)

In general, you are required to respond to most of the questions on the application forms.  You, however, are not required to provide information regarding your ethnicity or first language.  Providing this information is optional and does not affect the outcome of your application.  NBME uses information about the ethnicity and first language of its applicants for research purposes, and it is kept confidential.   

By providing your personal information online, you consent to allow NBME to use that information in accordance with this Policy.  This information is used for identification purposes and as stated below in Section 6.

3. Security

The security of your personal information is of the utmost concern to NBME.  We have administrative, technical and physical measures in place to protect the security of your personal information.  To protect your privacy, the NBME utilizes Secure Sockets Layer (SSL) technology to prevent third parties from seeing your personal and sensitive information (such as credit card number, social security number, or National ID number) during data transmission.

In order to access some services, you are required to enter a username and password to confirm your identity. For example, to access your personal information for NBME Licensing Examination Services, you must first confirm your identity by entering your USMLE identification number and a password. This authentication page is secured by SSL technology.

When you prepare to pay for services, you will enter our secure payment web page and will have a limited amount of time to enter the required information. NBME uses a third-party vendor to process your online payments. NBME uses digital certificates through VeriSign. As a VeriSign Secure Site, visitors can verify the site's authenticity and communicate with NBME securely using 128 bit encryption that protects confidential information.

Please note that pages other than the authentication page and payment page are not secured by SSL or other encryption programs.

Unfortunately, no data transmission over the Internet can be guaranteed to be secure.  As a result, while we strive to protect your personal information, we cannot and do not ensure or warrant the security of any information you transmit to us, and you do so at your own risk.  In the event there is a breach of the security measures used by NBME, NBME will take reasonable and appropriate actions to minimize the damage resulting from the security breach.  However, NBME cannot guarantee that unauthorized individuals will not obtain access to NBME systems through illegal measures, despite our security measures.

If, for any reason, you should choose not to provide your personal information online, you may request a paper version of the application or document request form by calling 215-590-9700 or by email to webmail@nbme.org. 4.  Cookies

A cookie is a small text file that is stored on a user's computer for record-keeping purposes. We do not use cookies on the www.nbme.org general website but we may use cookies on the web pages related to NBME Licensing Examination Services and NBME Self-Assessment Services. We do not link the information we store in cookies to any personally identifiable information you submit while on any of our sites.

We use both session ID cookies and persistent cookies. We use session cookies to make it easier for you to navigate our site. A session ID cookie expires when you close your browser. A persistent cookie remains on your hard drive for an extended period of time. You can remove persistent cookies by following directions provided in your Internet browser's "help" file.

We set a persistent cookie to store your passwords, so you don't have to enter it more than once. Persistent cookies also enable us to track and target the interests of our users to enhance the experience on our site.

If you reject cookies, you may still use our site, but your ability to use some areas of our site, such as contests or surveys, will be limited.

The use of cookies by our tracking utility company is not covered by our privacy policy. We do not have access or control over these cookies. Our tracking utility company uses session ID cookies to make it easier for you to navigate our site.

5.  Credit Card

All credit card transactions are processed through a vendor via SSL.  NBME submits the requisite information to the appropriate clearinghouse to verify and validate the credit card.  NBME does not disclose credit card information for any other purpose.

6.  Use of Personal Information Collected

NBME uses the personal information you provide to process your applications and requests for services, and to verify that you meet the minimum qualifications for our programs and services. Additionally, NBME may use aggregated personal information for research and statistical purposes. NBME does not use your personal information for marketing or promotional purposes.

We use your credit card information to bill you for services. We will not use your credit card information for any other purpose.

7.  Disclosure of Personal Information to Third Parties

We disclose your personal information to certain third parties to provide the products and services you have requested online. To support these services, we send a portion of your personal information, such as name and USMLE ID, to them using secured protocols and encryption. They have access to the minimal information needed to perform their functions, but otherwise will not use the information for other purposes. For example, when you apply for a USMLE examination, we will provide certain registration information to companies that schedule and administer the test.

NBME uses a third-party vendor to process your online payment transactions. To process these transactions, your payment information must be disclosed to this third party. See Section 3 above.

The USMLE is sponsored jointly by the NBME and the Federation of State Medical Boards (FSMB). To ensure an efficient and accurate examination process for applicants, portions of the personal information you provide to us during the registration process are retained in a database shared by the NBME and FSMB for the purposes of exam registration and scheduling. Additionally, this information, as well as performance data from the examination, is used by these organizations for research and statistical purposes, although only in the aggregate.  

NBME also shares certain user information, such as USMLE ID, Social Security number, name, Medical School name and graduation date, date of birth, gender and score information with the Association of American Medical Colleges (the "AAMC"). This organization uses the data that we provide for research purposes only.

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our Web site.

Other than as noted in this Policy, or as NBME shall notify user in the future, NBME does not to sell, rent, share, offer, or otherwise disclose any personal information, such as names, e-mail addresses, mailing addresses, telephone numbers, credit card information, and other personal information that you voluntarily provide to NBME, to any organization or individual without a legitimate interest (collectively "Third Parties"), except to the extent necessary to comply with applicable laws or valid legal process, or to protect the rights or property of NBME.

8.  Access and Ability to Correct Personal Data

A.  NBME Self-Assessment Services

If your personally identifiable information changes, or if you no longer desire our service, you may correct, update, or delete inaccuracies by making the change within your account by selecting "Personal Information" or by emailing our Customer Support at assessmentservices@nbme.org or by contacting us by postal mail at the contact information listed below. We will respond to your request within 30 days.

B.  NBME Licensing Examination Services

Using the Site, you may access and verify or change such personal information as mailing and e-mail addresses and telephone number. You may also submit a name change request. The submission of a name change request will generate further instructions regarding how to complete the request. NBME must receive appropriate documentation before we will make such a name change. You may also check the status of your USMLE applications, Scheduling Permits, score reports, and document requests. To do so, you must have both your USMLE Identification Number and a password. If you do not have your password, you may obtain one by accessing the NLES website and following the instructions for logging in. The NLES website is available 24 hours a day, 7 days a week, with the exception of maintenance periods.

Upon written request accompanied by appropriate documentation, NBME will change your social security number or birth date. To request such a change to your personal information, you may write to us at the address listed in Section 13, "Inquiries and Concerns," below.

9.  Links to and from NBME

For your convenience, this Site may contain links to other Internet web sites. However, NBME does not endorse, and is not responsible for, the privacy practices or the content of these web sites.

10.  Children’s Privacy

This Site is not designed to attract children. Accordingly, we do not knowingly collect personal information from anyone under 13 years of age.

11.  Commitment

The NBME is committed to protecting your privacy.  While we cannot guarantee privacy perfection, we will address any issue to the best of our abilities as soon as possible.

12. Communications from the Site

A.   Service-related Announcements

We will send you strictly service-related announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for maintenance, we might send you an email.

Generally, you may not opt-out of these communications, which are not promotional in nature. If you do not wish to receive them, you have the option to deactivate your account.

B.  Customer Service

Based upon the personally identifiable information you provide, we will send you a welcoming email to verify your username and password. We will also communicate with you in response to your inquiries, to provide the services you request, and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes.

13. Inquiries and Concerns

If we decide to change our privacy policy, we will post those changes to this privacy statement, the home page, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.

We reserve the right to modify this privacy statement at any time, so please review it frequently. If we make material changes to this policy, we will notify you here, by email, or by means of a notice on our home page.
